1. Eligibility & Authority

The Participant confirms that: the nomination complies with the applicable eligibility criteria and Award category; all information submitted is true and accurate to the best of their knowledge; they have the authority to submit or approve the project, work, organisation or individual being nominated; all architects, designers, educators, institutions, consultants, photographers, collaborators and other contributors have been appropriately credited; and where the submission is made by somebody other than the principal creator or organisation, necessary authorisation has been obtained. GLSN may request supporting information, documentation or confirmation of eligibility at any stage.

2. Intellectual Property Ownership

Copyright and intellectual property ownership in the original project, design, photographs, drawings, text, video, research and other submitted materials shall remain with their respective lawful owners. Participation in the PULSE Awards does not, by itself, constitute an assignment or transfer of ownership of such intellectual property to GLSN. However, by submitting or authorising a nomination, the Participant grants GLSN, the PULSE Awards and their parent/associated legal entity a non‑exclusive, worldwide, royalty‑free licence to use the submitted materials as provided in these Terms.

3. Licence Granted to GLSN

The Participant authorises GLSN to reproduce, display, publish, communicate, distribute, archive, exhibit and promote submitted materials in connection with: PULSE Learning Space Awards; PULSE conferences, exhibitions and events; GLSN platforms and initiatives; www.theglsn.com; GLSN and PULSE social media channels; Award announcements and jury communications; exhibitions and installations; Award books, catalogues and reports; newsletters and publications; educational and research materials; press and public relations; digital and physical marketing materials; presentations, films and event content; and historical and archival documentation relating to GLSN and PULSE. This licence is non‑exclusive, meaning that the Participant and the original rights holder remain free to use, publish, license and commercially exploit their work independently.

4. Duration of Licence

The rights granted to GLSN for material already published, awarded, shortlisted or archived may continue on a perpetual basis for historical, editorial, educational, promotional and archival purposes connected with PULSE and GLSN. This enables GLSN to maintain historical records of Award editions, winners, nominees, exhibitions and publications.

5. Third‑Party Copyright & Permissions

The Participant confirms that they have obtained all necessary rights and permissions to provide GLSN with submitted photographs, architectural drawings, illustrations, videos, renders, plans, written content, logos, research, testimonials, and other third‑party materials. Where copyright belongs to a photographer, architect, designer, institution, consultant or another person, the Participant is responsible for ensuring that the required permissions have been obtained. GLSN will make reasonable efforts to retain credits and attributions supplied by the Participant.

6. Credits & Attribution

Participants are responsible for providing complete and correct project credits — Architect/Design Practice, School/Institution/Client, Interior Designer, Learning Space Designer, Landscape Architect, Consultants, Contractors/Manufacturers, Photographer/Videographer, Project Team, Collaborators. GLSN may rely on information supplied by the Participant and shall not be responsible for omissions or incorrect attribution resulting from incomplete or incorrect submission information. Where a legitimate attribution concern is brought to GLSN’s attention, GLSN may review and, where reasonably possible, correct the published information.

7. Editorial Rights

The Participant permits GLSN to edit submitted text for grammar, clarity, consistency, length, editorial style, and publication format. Photographs, videos, drawings and graphics may be resized, cropped, reformatted or adapted to suit website, social media, presentation, exhibition, print and digital formats. Such editing should not intentionally distort or materially misrepresent the project or its authorship.

8. Confidential Information

Participants must not submit confidential, restricted, commercially sensitive or proprietary information unless they are authorised to disclose it. Unless specifically identified and accepted by GLSN as confidential in writing, information submitted as part of an Award nomination may be considered available for jury evaluation, Award administration, publication, exhibitions, publicity, and communication relating to the Awards.

9. Jury & Evaluation

Submissions will be assessed according to the evaluation framework and criteria determined by GLSN and the PULSE Awards. GLSN may appoint independent jurors, experts, advisors or evaluation panels. The Organiser may shortlist or decline an entry; request further information; seek verification; move an entry to another appropriate category; combine or modify categories; recognise more than one entry; create special recognitions; or decide not to confer an Award in a category. All decisions regarding eligibility, evaluation, shortlisting and Award selection shall be final. Individual jury scores, deliberations, comments and internal evaluation records need not be disclosed.

10. Conflict of Interest

Jury members are expected to disclose any material professional, financial or personal conflict relating to a submission under consideration. Where appropriate, GLSN may recuse a juror from evaluating the relevant entry.

11. Verification

GLSN may verify information supplied in a nomination, including project ownership, completion status, authorship, project location, institutional association, photographs, awards previously received, and contributor information. The Participant agrees to reasonably cooperate where verification is required.

12. Disqualification & Withdrawal of Recognition

GLSN reserves the right to reject, disqualify or withdraw an entry, nomination, shortlisting or Award if information is found to be materially false, misleading, plagiarised, misrepresented, improperly attributed, submitted without necessary authority, or in infringement of third‑party rights. An Award may also be withdrawn where subsequent facts materially affect the integrity of the recognition or the PULSE Awards.

12A. Withdrawal by Participant

A Participant may request withdrawal of their entry by writing to the Awards team from the registered email address used at submission. Withdrawal requests received before the announcement of the shortlist will normally be accepted, and the entry will be removed from further evaluation. Entry fees, where paid, are non‑refundable upon withdrawal. After a project has been shortlisted or publicly announced, withdrawal is subject to the approval of the Awards team, and GLSN may retain a factual record of the entry for administrative purposes.

13. Public Announcement

By participating, the Participant authorises GLSN and PULSE to publicly announce their nomination, shortlisting or Award, where applicable — including nominee name, organisation/institution, professional designation, project name, location, Award category, project description, photographs and videos, logos, relevant project information, and recognition received.

14. Nominee & Winner Publicity

Shortlisted nominees and winners may be invited to participate in interviews, jury presentations, panel conversations, Award films, social media features, editorial features, GLSN publications, podcasts, exhibitions, and PULSE events. Participation in additional interviews or engagements may be subject to mutual availability.

15. Event Photography & Recording

PULSE and GLSN events may be photographed, filmed, livestreamed or otherwise recorded. By attending an Award ceremony, PULSE conference or related public programme, Participants acknowledge that photographs, audio and video featuring them may be used for legitimate documentation, editorial, promotional and archival purposes, subject to applicable law.

16. PULSE & GLSN Brand Rights

The names GLSN, Global Learning Space Network, PULSE, People United for Learning Spaces Exploration, PULSE Learning Space Awards, and associated logos, graphic identities, Award trophies, badges and communication assets are proprietary to GLSN and/or their respective legal rights holders. No rights in these brands are transferred to Participants except the limited right granted to recognised nominees and winners to communicate their official recognition.

17. Use of Award Title by Winners & Nominees

Official nominees, shortlisted projects and Award recipients may refer to their recognition in professional communications. Participants may not claim an Award or category they did not receive; alter the meaning of the recognition; use PULSE or GLSN branding in a misleading manner; imply a commercial endorsement by GLSN; materially alter official Award badges or certificates; or use GLSN/PULSE intellectual property for unrelated commercial products without permission. GLSN may issue separate brand‑use guidelines for Award recipients.

18. Fees & Participation Costs

Where nomination, submission, delegate or participation fees apply, such fees shall be governed by the published Award conditions. Unless specifically stated otherwise, fees already paid may be non‑refundable once evaluation or related services have commenced. Travel, accommodation, transportation and other costs associated with attendance at Award ceremonies, exhibitions or PULSE events shall normally be borne by Participants unless otherwise confirmed in writing.

19. Changes to Awards

GLSN may reasonably modify Award categories, criteria, submission deadlines, event dates, venues, programme formats, jury composition, or Award administration processes. Material changes affecting Participants will be communicated through appropriate GLSN/PULSE channels.

20. Personal Data & Privacy

Personal information submitted during nomination or participation may be processed by GLSN, its parent/associated entity and authorised service providers for Award administration, nominee communication, jury evaluation, verification, certification, event administration, publication of results, maintaining Award records, fraud/misuse prevention, and legitimate GLSN/PULSE communications. Handling of personal information shall also be subject to the applicable GLSN Privacy Policy available through www.theglsn.com and applicable law. Where separate consent is legally required for unrelated promotional or marketing communication, such consent should be obtained separately.

21. Communication

Official communication relating to the Awards may be sent through email, phone, digital platforms or other contact information supplied during nomination. Participants are responsible for keeping their contact details accurate.

22. No Guarantee of Recognition or Commercial Benefit

Nomination or participation does not guarantee shortlisting, an Award, publication, media coverage, exhibition, commercial opportunities, business leads, or participation in PULSE programmes. All recognition remains subject to Award evaluation and editorial decisions.

23. Limitation of Liability

To the maximum extent permitted under applicable law, GLSN, its parent/associated legal entity, PULSE, affiliates, partners, jury members, employees, representatives and authorised service providers shall not be responsible for indirect or consequential losses arising from participation in the Awards, reliance on Award results, technical submission failures, incomplete information supplied by Participants, third‑party IP claims, programme/venue changes, digital platform interruptions, or circumstances beyond reasonable control. Nothing in these Terms shall exclude liability that cannot lawfully be excluded.

24. Indemnity

The Participant agrees to be responsible for claims, losses, liabilities or reasonable costs arising from material supplied without appropriate rights or permissions; inaccurate representations made in the nomination; infringement of third‑party rights; breach of these Terms; or unauthorised use of another party’s intellectual property. This protection shall extend to GLSN, its parent/associated legal entity, PULSE and their authorised representatives, subject to applicable law.

25. Relationship With GLSN Website Terms

Participation in the PULSE Learning Space Awards may also involve the use of www.theglsn.com. Where applicable, the GLSN Terms of Service, Privacy Policy, Submission Terms & Conditions, and other published policies shall operate alongside these PULSE Awards Terms. Where there is a specific conflict relating solely to administration of the PULSE Awards, these PULSE Awards Terms shall prevail for the Award process unless otherwise stated.

26. Governing Law & Jurisdiction

These Terms shall be governed by the laws of India. Subject to applicable law, any dispute arising specifically in relation to the PULSE Learning Space Awards shall be subject to the jurisdiction of the competent courts at Indore, Madhya Pradesh, India.
